Time Off Request Tool

Submit or cancel vacation, sick days, and personal days.

The Time Off Request Tool lets you submit vacation, sick day, and personal day requests. It automatically tracks your yearly allowance, sends your request to your manager for approval, and updates the shared “Team/Holidays” Outlook calendar.

Submitting a Request

Open the form and choose whether you are requesting new time off or cancelling existing time off. For new requests, you can select:

• Half day only • Full day only • Full days plus a half day

Add any notes you want to share with your manager in the comment field. After submission, you’ll receive a confirmation email and the request will be routed automatically. Once approved, your time off will appear in the Outlook Holiday Calendar.

Cancelling Approved Time Off

Open the same form and choose the cancel option. Enter the date range you want to cancel. Once approved by your manager, all matching events will be removed from the Holiday Calendar.

Calendar Event Notes

Calendar entries created by the app are for visibility only and are not used for accounting. Renaming an event in Outlook will prevent the system from updating or cancelling it automatically. You can safely add a description to the event if you want.

For Managers

When an employee submits a request, you’ll receive a Teams notification and an email. Approve or reject directly from the message and optionally leave a comment. All details are included for quick review.

For Accounting

All approved, rejected, and cancelled requests are logged in the shared Holiday Tracker spreadsheet in the IT SharePoint. This file contains all accounting and payroll information required.
